Making employees bookable at two locations

Problem Statement


In the configuration of Calenso, resources/employees can generally only be assigned to a single location.


However, it is possible to work at multiple locations and be bookable for them in Calenso. There are, however, some important aspects to consider. For example, a distinction must be made between employees and resources.


Terminology:


Employees are bookable individuals who have login access to the Calenso dashboard. They log in using their email address and password. Therefore, an email address cannot be used for more than one employee.


Resources can also be individuals who can be booked via Calenso. However, resources do not have login access to the Calenso dashboard. Therefore, email addresses can be used for multiple resources.


Solution:


To be bookable at an additional location, an extra resource must be created at that location.

For this resource, the same email address can be used. As previously mentioned, this would not be possible for an employee. Using the same email address is important so that notifications, such as new appointment bookings, are sent to a unified email address for the same person, even if they are represented by multiple resources.


Important


To prevent scheduling conflicts between multiple resources, it is important to properly distribute the availabilities.

Additionally, scheduling conflicts can be avoided by linking all resources to the same external calendar as the original employee. This ensures that a booked appointment is synchronized across all resources, preventing them from being booked at the same time.
