External calendar - Synchronize your appointments with Calenso

Do you already manage your appointments in your own calendar, such as Google or Office365? To ensure that your existing or private events don't conflict with your Calenso appointments, you can synchronize these external calendars with Calenso.


In the following article, we will show you how to connect your respective calendar and which subscription you need for it.

Which data is synchronized?

Data from the external calendar

From your customers' perspective

No appointment data from your calendar is shown in the booking widget. Calenso only compares the start and end times of any potentially conflicting appointments in your external calendar in the background. This comparison happens every time a customer selects a date. This ensures that no appointments are booked when you already have other commitments.


From your perspective

Within the Calenso Dashboard, you can view the appointments from your external calendar in the Calenso calendar. However, only the start time, end time, and title of the appointments are shown.

To activate the display of a resource’s or employee's appointments, click the toggle "Active in Calenso Calendar" in the resource profile.


Adding Calenso appointments to your external calendar

The following appointment data is transferred to your external calendar when a booking is made via Calenso:

  • Appointment title
  • Date, start and end time of the appointment
  • Customer information and answers to booking questions
  • Meeting link for online appointments
  • Admin link to the Calenso appointment page


Synchronized Calenso appointments can be recognized by the Calenso symbol and the calendar icons of the external calendar providers:


Clicking on the calendar entry within the Calenso calendar reveals the appointment details:



How do I set up a calendar connection?

Calendar integration for all employees and resources

In the Integrations menu, under the Calendar category, you can connect all calendars permitted for your Calenso license:


Select your desired calendar by clicking the corresponding tile.

As shown in our example with the Google Calendar, the corresponding menu will open. Click Integrate:


A window opens to connect the calendar. Via the Integrations menu, you can now choose for which employee or resource the calendar should be connected:


After selecting an employee, you can choose which calendar to connect. The setup steps for each calendar type are explained separately.



Connect calendar via resource settings

In the Master Data, go to Resources / Employees to access the overview of all resource settings:


One option is to directly select External Calendars in the following menu:


This opens an overview of all connected external calendars across all employees and resources. A new calendar can be added via the "+" button:


You can now add a new calendar as in the integrations path. First, select the resource to which you want to add a calendar:


Then select the calendar provider:



Add calendar directly in employee profile

Open your Master Data and go to your Profile:


Go to the Calendar tab in your personal Profile. Click on the "+" to add a new calendar:


Now select the desired calendar to connect it:



Which calendars can be connected to Calenso?

Google Calendar

Requirements

BasicProfessionalBusinessEnterprise


The Google Calendar can be connected in all Calenso subscriptions. However, please note that in the Basic subscription, only one calendar connection per user is possible.


Setting up the Google Calendar

Go to the section How do I set up a calendar connection? and follow one of the described paths until you can select the calendar provider. Choose the Google Calendar and click Continue:


You will now be redirected to the Google login. Select the Google account you want to connect:

Enter your Google password:

Google will now display which data Calenso will access within your Google account. Click Continue to proceed:

You will then be redirected to the Calenso dashboard to select the Google Calendar from your Google account that you want to connect:

Once you've selected a calendar, click Continue:

If the connection was successful, a confirmation will be displayed:


Microsoft 365

Requirements

BasicProfessionalBusinessEnterprise


The M365 calendar can be connected starting from the Calenso Professional subscription. The Professional subscription allows 3 calendar connections per user, the Business subscription allows 5 calendar connections per user, and the Enterprise subscription offers 10 connections per user.


Setting up the M365 Calendar

Go to the section How do I set up a calendar connection? and follow one of the described paths until you reach the calendar selection. Choose M365 Calendar and click Continue:


Microsoft Exchange

Requirements

BasicProfessionalBusinessEnterprise


The Microsoft Exchange calendar can be connected from the Calenso Professional subscription onwards. 3 calendar connections per user are available in Professional, 5 in Business, and 10 in Enterprise.


Setting up the Microsoft Exchange Calendar

Go to How do I set up a calendar connection? and follow one of the described paths until the calendar selection. Choose Exchange Calendar and click Continue:


iCloud

Requirements

BasicProfessionalBusinessEnterprise


The iCloud calendar can be connected starting from the Calenso Professional subscription. 3 calendar connections per user are possible in Professional, 5 in Business, and 10 in Enterprise.


Setting up the iCloud Calendar

Go to the section How do I set up a calendar connection? and follow one of the described paths until you reach the calendar provider selection. Choose iCloud Calendar and click Continue:


CalDAV

Requirements

BasicProfessionalBusinessEnterprise


All CalDAV calendars can be connected starting from the Calenso Business subscription. The Professional tier is not supported for CalDAV. 5 calendar connections per user are possible in Business, and 10 in Enterprise.


Setting up a CalDAV calendar

Go to How do I set up a calendar connection? and follow one of the paths until you can choose a calendar provider. Select CalDAV and click Continue:

A window opens for Selecting a calendar provider and entering access credentials.

The following calendar providers are available for selection:

  • Infomaniak
  • Nextcloud
  • OwnCloud
  • Zimbra


Finding the server URL

Depending on the selected provider, you will need the appropriate login details. Most importantly, you need the server address. Here's how to find it for each provider:

Infomaniak

Server URL: https://sync.infomaniak.com/principals/<username>

You can find your user data at https://config.infomaniak.com/:

NextCloud

Go to the calendar view and select the desired calendar. Click the three dots to get the calendar link:

OwnCloud

In the calendar view, click the gear icon in the lower left corner. A menu will open from which you can copy the primary calendar address:

Zimbra (Instructions for Mac)

  1. Log in to your Zimbra calendar account.
  2. Right-click on the calendar → Information.
  3. Click on "Calendar Info".
  4. Copy the "Server path".
  5. The server URL is: https:// + server address + server path, e.g. https://mail.calenso.com/principals/users/test@calenso.ch/
